IDEAL YEAR OF SCOUTING

Last time we talked about the Planning step of the Ideal Year of Scouting process where you put all of your Scouting dreams for the year down into a unit calendar.  Now we to figure out how much all of those activities are going to cost by completing the Budgeting step!

This step should be completed now so that you can use the budget to set your per-Scout fundraising goal prior to placing your unit’s popcorn order.  Don’t recreate the wheel!  Use the budget template for your program level found at www.scoutpopcornsale.com/IYoS_Budgeting.

We start by listing out all of the expenses that our unit will incur throughout the year such as: registration fees, Boys’ Life subscription fees, advancements and recognition, program materials, activity/event fees.  Expenses should be listed as a per-person cost, spreading the cost of everything equally across all members.

The unit should have a good idea of the expenses for activities or events that they have participated in previously or that have a long standing tradition in the district/council.  These activities and activities with outside groups such as Scout Days can be estimated based on the previous year’s costs and should estimate a small price increase each year.

New activities that the unit has added to the calendar based on member’s suggestions (from the Listening step) should be assigned a parent or volunteer champion.  The champion of each event will research and put together a per-person budget for their activity.  Assigning each person only one event to research makes this task easy.  Plus, when it comes time to find someone organize the actual outing, you already have a champion who knows all of the details!

The next step in the budgeting process is to identify the source(s) of unit income for the year.  Holding only one fund-raiser per year, the popcorn sale, will help prevent having to ask families for extra money every week.

Next time we’ll walk you through the Funding process and give you some tips and tricks on how to make your popcorn sale the best yet!
